About these terms

Welcome to Autism Routemap. These terms explain how we work together: what you can expect from us, what we ask of you, and the practical details around booking, payment, and using our website. We have tried to keep them clear and free of unnecessary legal language. Please read them, and do ask us if anything is unclear.

By using our website, or by booking or taking part in any of our services, you agree to these terms. If you do not agree with them, please do not use the website or our services.

These terms should be read alongside our Privacy Policy, which explains how we look after your information.

Our services

We offer support for neurodivergent children, teens and adults, their families, and organisations. Our services currently include:

·         Individual sessions focused on emotional wellbeing, relationships, communication, and self-management, usually delivered online.

·         A university coaching group for autistic and ADHD students.

·         Diagnostic assessments (Autism and ADHD), carried out in conjunction with specialist diagnostic partners using recognised, standardised measures.

·         Training and consultancy for employers and teams on neurodiversity and inclusive ways of working.

·         Online courses and digital downloads, such as our downloadable Personal Roadmap and our newsletter.

We will always discuss with you what a particular service involves before you commit to it, so you know what to expect.

An important note about the nature of our support

Please take a moment to read this section, as it matters.

We are not an emergency or crisis service. We are not able to provide urgent or out-of-hours support. If you, or someone you know, is in crisis or at immediate risk of harm, please contact the emergency services on 999, go to your nearest A&E, call NHS 111 (and select the mental health option), or contact your GP. You can also call the Samaritans free at any time on 116 123. If you are a student, your university will usually have its own support and out-of-hours services.

Our coaching, group programs, training and online services complements, but does not replace, medical or other professional care. We do not provide medical treatment, prescribe or advise on medication, or replace the care of your GP, psychiatrist, or other treating professionals. If you are under the care of other professionals, we encourage you to continue with that care, and our work can sit alongside it.

About outcomes. We bring our experience, training, and full professional care and skill to our work with you. At the same time, the support we offer depends on many things, including your individual circumstances, and we cannot promise or guarantee a particular outcome or result. What we can promise is to work with you honestly, thoughtfully, and to a professional standard.

About assessments. An assessment provides a considered clinical opinion based on recognised measures and the information available at the time. We will explain the process, what it can and cannot tell you, and what you will receive (such as a report) before you go ahead.

Booking, fees, and payment

You can arrange a free, no-obligation Turning Point Call to talk through what might help. There is no charge for this call, and no obligation to book anything further.

For paid services:

Prices for our services are shown on the website or provided on enquiry. Prices are in pounds sterling.

Payment is taken securely through our payment providers (currently Stripe and/or PayPal). We do not see or store your full card details.

Unless we agree otherwise, payment for group programs and assessments is taken in advance. One-to-one sessions are invoiced at the at the end of the month for any individual sessions that took place during that month. Invoices for individual sessions must be paid within 14 days of the invoice date. Failure to pay within the required timeframe will likely result in any further sessions being suspended and future sessions may require advance payment.

Online courses and digital download are accessible immediately and payment is taken in advance where applicable.

Where we offer a payment plan, we will set out the instalments clearly before you agree to it, and you agree to keep to the agreed schedule.

For training and organisational work, we will provide a written quote, followed by an invoice once the quote is agreed and invoices are payable within 14 days of the invoice date.

If you hold health insurance, it is your responsibility to check what your insurer covers and to make any claim directly with them. Unless we have agreed otherwise in writing, you remain responsible for our fees regardless of whether your insurer pays.

Cancellations, rescheduling, and refunds

Rescheduling or cancelling a one-to-one appointment. We understand that life happens, and that flexibility matters, particularly for the people we support. If you need to rearrange or cancel an appointment, please let us know as early as you can. If you give us at least 48 hours’ notice, there will be no charge. For cancellations with less notice, or for missed appointments, we may charge the full fee, because the time has been reserved for you. We will always try to be fair and to take genuine emergencies into account.

Your right to cancel a new purchase (cooling-off period). Because you buy our services at a distance (online), you usually have the right under the Consumer Contracts Regulations 2013 to cancel within 14 days of buying, and to receive a refund. There are two things to be aware of:

If you ask us to begin providing a service within that 14-day period and you then cancel, we may charge you a fair amount for the part of the service already provided.

For digital downloads and online content, if you ask to access it straight away and agree that you will lose your cancellation right by doing so, you will not be able to cancel once access has begun.

Refunds for group programs are available up to 14 days before the program starts. After that, your place is held for you and us non-refundable as your place may prevent another applicant from joining.

Refunds for courses and digital products. If you buy a course or digital product and there is a problem with it, you are entitled to a remedy under the Consumer Rights Act 2015. If you simply change your mind, your cancellation rights are as set out above.

No payment is involved for free guides and resources, so refunds do not apply. You can unsubscribe at any time.

Assessments: Specific terms relating to assessments will be confirmed in writing before you commit to one. Refunds are available 14 days prior to your appointment. After that, the full fee applies.

Nothing in this section affects your legal rights as a consumer.

Working together: what we ask of you

So that we can support you well, we ask that you:

Give us accurate and complete information, and let us know if your circumstances or contact details change.

Attend appointments, or let us know in good time if you cannot.

Engage with the support as best you are able, recognising that progress takes time and looks different for everyone.

Treat us, and any others in a group setting, with respect. We are committed to providing a calm, respectful, and inclusive space, and we ask the same in return.

In group programs, we reserve the right to remove participants whose behaviour materially disrupts the experience for others.

Online sessions

Many of our sessions take place online (currently using Zoom). For these to work well:

You are responsible for having a suitable device and internet connection, and for finding a private, quiet space where you feel comfortable talking.

We will not record sessions without your clear agreement, and we will not ask you to be recorded without explaining why. Please do not record sessions without our agreement.

If technology fails on either side, we will do our best to reconnect or to rearrange the session fairly.

We offer summaries of the session using the Zoom AI Note taker. Your consent is needed to provide this resource.

Confidentiality

What you share with us is treated as confidential, and we handle your information as described in our Privacy Policy. As registered-professional practice, our confidentiality has limits: we may need to share information, where possible after discussing it with you, if there is a serious risk of harm to you or another person, if a child or vulnerable adult may be at risk, or if we are required to do so by law. Our Privacy Policy explains this in more detail.

In group programs, we ask all participants to respect each other’s confidentiality. We cannot, however, guarantee what other group members will or will not share outside the group.

Children and young people

We work with people under 18, including teenagers and, through our diagnostic partners, younger children. Where we support someone under 18, we do so with the involvement of a parent or person with parental responsibility, who agrees to these terms on the young person's behalf. Where a young person is able to understand and make decisions about their own support, we will involve and respect their views appropriately.

If our website includes any account, login, or community feature, it is intended for adults and for young people aged 16 and over. We may close an account if we believe it has been set up by someone below that age without appropriate consent.

Using our website

You may use our website for your own personal, non-commercial use. You agree not to misuse it, for example by attempting to gain unauthorised access, introducing harmful software, copying or scraping content, or using it in any unlawful way. We may suspend or restrict access if the website is being misused.

We make reasonable efforts to keep the information on our website accurate and up to date, but our blog, resources, and other general content are provided for information only. They are not personal advice and are not a substitute for support tailored to your situation. We do not guarantee that the website will always be available or free of errors.

Intellectual property

The content on our website and in our resources, courses, and materials, including text, images, downloads, and the Autism Routemap name and branding, belongs to us or to others who have allowed us to use it. You are welcome to use materials we provide for your own personal use. Please do not copy, share, republish, sell, or adapt them for any other purpose without our written permission.

If you send us comments, ideas, or feedback, you agree that we may use them to improve our work without any obligation to you, although we are of course always grateful for them.

Third-party services

We rely on trusted third parties to help run our practice, including our website and email platform (Podia), booking system (Acuity Scheduling), video platform (Zoom), online forms (Tally), and payment providers (Stripe and PayPal). Your use of those services may also be subject to their own terms. We are not responsible for problems caused by a third-party service or by other websites we link to, although we will always try to help where we reasonably can.

Our responsibility to you

We will provide our services with reasonable care and skill, as required by the Consumer Rights Act 2015.

We do not in any way limit or exclude our liability for death or personal injury caused by our negligence, for fraud, or for anything else that the law does not allow us to limit or exclude.

Subject to that, we are not liable for losses that were not foreseeable, that were not caused by us, or that arise from your use of general information on our website rather than from a service we have agreed to provide. Where we are found to be liable, our total liability to you will not exceed the amount you have paid us for the relevant service.

Nothing in these terms affects your legal rights as a consumer.

Ending our work together

You are free to stop using our services at any time, subject to any fees properly due for support already provided and to the cancellation terms above.

We may need to pause or end our work together, for example if continuing would not be safe or appropriate, if another form of support would serve you better, if fees remain unpaid after we have reminded you, or if our respectful-space expectations are not met. If we do, we will act fairly, explain our reasons where we can, and refund any fees you have paid for support not yet provided. Where helpful and appropriate, we will try to signpost you to other sources of support.

If something goes wrong: complaints

If you are unhappy with any part of our service, please tell us, as we would always like the chance to put things right. You can contact us at linda.philips@autismroutemap.com and we will respond as quickly as we reasonably can. If your concern relates to professional conduct, you are also able to contact the Health and Care Professions Council (HCPC), the regulator for Speech and Language Therapists, at hcpc-uk.org.

Things outside our control

We are not responsible for failing to provide a service if we are prevented from doing so by something beyond our reasonable control, such as illness, a power or internet failure, or other unexpected events. If this happens, we will let you know as soon as we can and arrange to reschedule or, where appropriate, refund you.

Changes to our services and these terms

We may update our services and these terms from time to time, for example to reflect changes in how we work or in the law. When we do, we will update the date at the top of this page, and the version published here is the one that applies. For any service you have already booked and paid for, the terms that applied at the time of booking will continue to apply.

Privacy

Please see our privacy policy for how we handle your personal data.

Limitation of Liability

While we will always do our best to deliver our services with care and professional skill, we cannot guarantee specific outcomes. Personal change is dependent on many factors, including your own engagement.

To the extent permitted by law, our liability to you for any claim arising out of our services is limited to the amount you have paid us for the specific service to which the claim relates. Nothing in these terms limits or excludes liability where it would be unlawful to do so (for example, for personal injury caused by negligence).

Governing law

If any part of these terms is found to be invalid or unenforceable, the rest will continue to apply. If we do not insist on a particular right on one occasion, that does not mean we give up that right. These terms are between you and us; except where stated, no one else has the right to enforce them under the Contracts (Rights of Third Parties) Act 1999.

These terms are governed by the laws of England and Wales, and any disputes will be subject to the courts of England and Wales. As a consumer, you may also be entitled to bring proceedings in your local courts.
